AI Software Policy

This policy explains how Riley James Surveyors may use artificial intelligence, automation and software tools while maintaining professional judgement, client confidentiality and RICS-compliant working practices.

Our position

Riley James Surveyors may use digital tools, automation and artificial intelligence systems to support administration, research, drafting, workflow management, document organisation, quality control and internal efficiency.

AI tools do not replace professional judgement. Survey findings, valuation advice, expert opinion, recommendations and final reports remain subject to review and professional oversight by an appropriately competent surveyor.

How AI may be used

  • Assisting with administrative drafting and document organisation.
  • Helping structure site notes, report sections or internal workflows.
  • Supporting research, quality checking and consistency review.
  • Suggesting wording or summaries for professional review.
  • Improving internal efficiency and client communication.

How AI is not used

  • AI does not independently inspect property.
  • AI does not replace the surveyor’s professional judgement.
  • AI does not make final valuation decisions.
  • AI does not issue reports without human review and approval.
  • AI is not relied upon where its output is not considered sufficiently reliable.

Professional judgement and oversight

Any AI-assisted output that may influence the delivery of surveying services must be reviewed for accuracy, relevance, reliability and appropriateness. Where the use of AI may have a material impact on the service provided, we will consider the risks, limitations and suitability of that use.

Client confidentiality and data protection

We aim to use software tools responsibly and with appropriate regard to confidentiality, data protection, professional standards and client interests. Sensitive information should only be used within systems considered appropriate for the purpose.

Transparency

Where AI or software tools are used in a way that may materially affect the delivery of surveying services, we will aim to ensure appropriate transparency and professional oversight. If an AI output is not considered reliable enough to support the service, it should not be relied upon.

RICS professional standards

Our approach is intended to align with RICS expectations on responsible AI use, including governance and risk management, professional judgement and oversight, transparency and client communication, and responsible use of AI systems.

Review

This policy may be reviewed and updated as our systems develop and as professional, regulatory or legal requirements change.
